As Autonom Foundation's portfolio of volunteer projects grew, so did the complexity of managing them. What started as a manageable process - coordinating volunteers, tracking hours, preparing documents and following project budgets - called for a clearer, more scalable way of working. With several initiatives running at the same time, each involving different volunteers, beneficiaries, expenses and legal paperwork, the organization needed a reliable way to manage everything from one place.
The project came with a clear operational goal: turning day-to-day coordination into a structured digital system. Volunteer coordination needed to be easier to track, contracts and related documents needed to be generated faster and with greater consistency, and project expenses needed to be recorded in a way that supported accurate financial reporting.
Another important goal was connecting the internal life of a project with its public presence. Once a volunteer project was completed, the information still had to be prepared separately for publication on the organization's website - an extra step that added time between project completion and public communication.
The goal was to reduce the time spent on repetitive administrative tasks and create a digital workflow that could support Autonom Foundation as its volunteer activity continued to scale.

Beyond internal oversight, this data is essential for external reporting - many grants and partnerships require documented proof of volunteer hours, and the platform makes producing that documentation straightforward.

One of the platform's most impactful features is its contract and document engine. Rather than drafting each document from scratch, administrators work with a library of templates - for volunteer contracts, addenda, certificates and other formal documents - each built around a set of smart placeholders. When a document needs to be generated, the system pulls in the relevant data automatically: the volunteer's name, the project details, the dates, the roles involved. What used to take hours of careful editing across dozens of documents now takes seconds, with a consistent, error-free result every time.
Once generated, documents don't sit in a queue waiting for a printer. The platform sends them directly by email to the relevant parties, who can review and sign digitally through Namirial. Signed documents are automatically registered back in the platform, creating a complete, timestamped and traceable record for every agreement. For an organization managing large numbers of volunteers across multiple projects, this brings the entire signing process into one clear, connected flow.
When a project is approved and completed, the platform doesn't stop at internal record-keeping. Administrators fill in project details and upload photos directly within the internal system, which then synchronizes automatically with Autonom Foundation's public website - publishing the completed project in the dedicated section without any manual duplication. The internal record and the public story of a project are now two sides of the same coin.

Features such as volunteer management, document generation, digital signing, timesheet tracking, invoice processing and website synchronization can be adapted to different organizational needs without rebuilding the system from scratch.
After a document is generated inside the platform, it can be sent automatically to the relevant person — such as a volunteer, partner or beneficiary — for digital signing through Namirial. The recipient receives a secure link, reviews the document and signs it online, without printing, scanning or installing additional software. Once signed, the document is automatically saved back into the platform with a timestamp and audit trail.
Very. The template system supports any document type the organization works with — volunteer contracts, addenda, certificates of participation, authorization letters and more. Each template is built around a set of configurable placeholders that map to data already stored in the platform.
